The incumbent will undertake the day-to-day administrative functions of the Executive Office, ensuring that the Chief Executive officer’ s time is effectively managed and increasing the CEO’s availability and attention to executive duties and responsibilities.

The position holder will also assist the CEO in tracking strategic deliverables and will act as a point of contact on behalf of the CEO for all internal and external stakeholders

Key Responsibilities
•Manages incoming calls, emails and visitor requests, proactively determining significance and prioritizing the Chief Executive Officer ’s calendar
•Attends to requests and queries from various stakeholders on behalf of the and assists with Chief Executive Officer compilation of responses
•Coordinates the Chief Executive Officer ‘s daily schedule, timeously updating him/her on the upcoming commitments and responsibilities
•Coordinates the Executive Office’s communication in line with the agreed internal and external communication platforms
•Provides administrative support, including assistance in preparing correspondence letters, memoranda and reports
•Drafts reports and presentations for the Chief Executive Officer
•Manages confidential and sensitive information/documentation with appropriate discretion
•Alerts the Chief Executive Officer and the Executive Committee of matters requiring urgent attention and in the absence of the Chief Executive Officer, manage such matters with the engagement of the Executive Committee
•Arranges Executive Committee meetings, preparing agendas and ensuring availability of facilities and refreshments
•Participates in Executive Committee meetings, taking minutes and drawing up action plans as well as ensuring circulation of minutes and related other documentation prior to future meetings
•Assists with preparations for Board meetings, ensuring availability of facilities and refreshments
•Arranges and coordinates the Chief Executive Officer travel schedules, ensuring timeous reservations and creating detailed itineraries
•Prepares and coordinates the Chief Executive Officer ‘s stakeholder engagement plan
• Organises and maintains executive files
•Ensures smooth running of the Executive Office by addressing ICT, administrative and other related issues promptly
•Ensures cost effective and timely procurement for the Executive Office
•Conducts research and manages specific projects on behalf of the Chief Executive Officer Represents the Chief Executive Officer at selected meetings, engagements and forums as requested

•A minimum of Bachelor’s Degree in Business Administration, with at least three (3) years post qualification
• At least 5 years work experience on the same role
